Dear All,
Below is an update on the present status of selecting venue for FOSS4G-Asia 2018;
1) Letter of Interest [1] for 4 proposers, namely, India Japan, Korea and Sri Lanka
2) A FOSS4G-Asia 2018 conference selection was set-up consisting of following members
+ Dr. Tuong Thuy Vu , University of Nottingham, Malaysia + Mr. Ravi Vundavalli, Secretary, OSGeo-India + Dr. Sarawut NINSAWAT, AIT + Mr. Gérald Fenoy, GeoLabs SARL + Dr. Ho Dinh Duan, Vietnamese Academy of Science and Technology + Mr. Martin Isenburg, rapidlasso GmbH + Mr. Daniel Kastl, Georepublic + Prof. Xianfeng Song, University of Chinese Academy of Science + Venkatesh Raghavan, Osaka City University
3) The committee decided unanimously that FOSS4G-Asia will be organized as a bi-annual (every two years) counting form last FOSS4G-Asia that was organized in Hyderabad in January 2017. It was also decided that the next and future FOSS4G-Asia event will be organized between November-January period.
4) LoI submitted by Korea and Sri Lanka mentioned early 2018 as possible dates and both the prooposers have agreed to consider change of dates to late 2018 (Nov-Dec) 2018, in keeping with the bi-annual schedule.
5) The selection committee also decide not to consider India as a venue for FOSS4G-Asia 2018 as the India was the venue for the FOSS4G-Asia 2017 [2] also.
6) Considering the above, the Selection committee has shortlisted Japan, Korea and Sri Lanka as possible venue/host.
7) We now invite more detailed (max 4 A4 pages) proposal form the Local Organizers in Japan, Korea and Sri Lanka. The proposal should outline;
a) Dates b) Venue c) Availability of hotel rooms near venue and approximate cost for single or shared rooms d) Infrastructure available (Meeting rooms available with capacity,Internet Access, Computer rooms for workshops etc.) e) Main organizers and possible list of supporting organizations f) Potential sponsors g) Transportation and access to venue h) Members of LoC i) Any other information that will help the Selection committee to arrive at a decision

Dear All, happy to note that there are -3- contenders now, Japan, Korea and Sri Lanka.
OSGeo and it's philosophy is spreading well in Asia, with Japan and Korea having had FOSS4G conducted successfully earlier.
It is always pertinent to encourage virgin areas.

- The selection committee also decide not to consider India as a venue
for FOSS4G-Asia 2018 as the India was the venue for the FOSS4G-Asia 2017
[2] also.
- Considering the above, the Selection committee has shortlisted Japan,
Korea and Sri Lanka as possible venue/host.
- We now invite more detailed (max 4 A4 pages) proposal form the Local
Organizers in Japan, Korea and Sri Lanka. The proposal should outline;
a) Dates
b) Venue
c) Availability of hotel rooms near venue and approximate cost
for single or shared rooms
d) Infrastructure available (Meeting rooms available with
capacity,Internet Access, Computer rooms for workshops etc.)
e) Main organizers and possible list of supporting organizations
f) Potential sponsors
g) Transportation and access to venue
h) Members of LoC
i) Any other information that will help the Selection committee to
arrive at a decision
- The deadline for submission of proposals is 23 July, 2017 (sun)

To the proposers for hosting FOSS4G-Asia-2018/2019.
The selection committee is not reviewing the proposals and preparing some questions regarding each bid.
The schedule for the next steps are as below;
1) 03 August, 2017: Committee members to come up with questions 2) 04 August, 2017: Post questions to the conference mailing list for each team to answer 3) 11 August, 2017: Deadline for teams to answer questions 4) 12-14 August, 2017: Selection Committee discussion on proposals and voting. 5) 15 August, 2017: Declare our host for FOSS4G-Asia 2018/2019
Please note that all questions will be posted together on this ML by 4 August, 2017 (Fri) and kindly prepare to answer them by 04 August, 2017 midnight (UTC).
If all goes well, we will be able to announce the FOSS4G-Asia 2018/2019 host city just before FOSS4G-2017 in Boston commences.
